Lesson: a full maintenance cycle, from order to closure
A step-by-step hands-on lesson — prepare the type catalog, create a work order executed at an external shop, close it with its cost, then track due dates, tires, and driver reports.
In this lesson you walk a real maintenance cycle on the real screens: review the type catalog, create a work order executed at a third-party shop and close it with its cost, read the due bands and the per-vendor spend, register a trailer's tires and track their life, and resolve a driver's fault report — all without any tracking device.
A hands-on lesson, not a reference
This is one successful scenario, step by step. For every field, rule, and status, see the reference page Maintenance.
Before you start
- A user with write access: admin, CEO, operations manager, or assets manager.
- At least one registered vehicle (a trailer is optional, for step 5).
- No tracking device and no integration needed — every entry in this lesson is manual.
The scenario at a glance
| # | Stage | Where | Result |
|---|---|---|---|
| 1 | Review the maintenance-type catalog | /maintenance/catalog | The seeded catalog (12 types) in front of you |
| 2 | Create a work order for an external shop | /maintenance | An auto-numbered record linked to a vendor, status "open" |
| 3 | Start and close the order | /maintenance/work-orders | "In progress", then "completed" with a date |
| 4 | Read the due bands | /maintenance | The asset shows "soon" and its next due |
| 5 | Register the trailer's tires | Trailer page | Tire-life card with book values |
| 6 | Resolve a driver's report | /issues | Report marked resolved |
| 7 | Add an annual fixed cost | Vehicle page | Annual running cost appears |
| 8 | Export the register | /maintenance | Excel file with Arabic columns |
1. Review the maintenance-type catalog
Open Maintenance Types from the sidebar. On first visit the catalog seeds itself with 12 types in two groups: preventive (periodic service 1/2/3 and full periodic service) and corrective (mechanical, electrical, accident repair, brake system, chassis, welding, tire repair, other).
Admin/CEO can add tenant-specific types via «+ إضافة نوع» — remember the code is immutable after creation, and a type referenced by records is deactivated on delete, never hard-deleted.
2. Create the work order for the external shop
If «ورشة النخبة» isn't registered yet, open الورش والموردون (Vendors) from the sidebar and press «+ إضافة جهة»: Arabic name «ورشة النخبة», kind: "external shop", then save. (Your own in-house workshop registers the same way with kind "in-house".)
From the Maintenance page press «+ أمر عمل» and fill in:
- Toggle to 🛻 trailer (we'll service a reefer trailer in this example) and pick the asset.
- Category: repair.
- Class: corrective; type: «صيانة ميكانيكية» (mechanical).
- Description: «استبدال وحدة تبريد المقطورة — ورشة النخبة» (required).
- Cost (SAR): 1850.
- Service odometer (km): 412300 — the reading from the shop's job card.
- Interval (km): 20000; leave next due (km) empty so the system computes it (432300).
- Vendor (الجهة المنفذة): «ورشة النخبة — خارجية».
- Assigned technician: «ورشة النخبة» (the shop's name).
Save — the server issues the record number automatically (say MNT014) and the next-due value is written onto the trailer itself.
3. Start and close it from Work Orders
Open Work Orders — your record sits in the "open" tile at the top. Press «بدء» (start) to move it to "in progress", and when the shop returns with the invoice press «إكمال» (complete) — the completion date is stamped automatically if empty and the record turns "completed". Adjust the final cost from the edit dialog if the invoice differs from the estimate.
If the work was called off: «إلغاء» (cancel) removes it from the due bands, and «إعادة فتح» (reopen) returns any finished record to "open".
4. Read the due bands
Back on the Maintenance page:
- In the asset-level due band, the trailer appears once it is within 5,000 km of the 432300 threshold — with its «كم للصيانة» (km to service) column and a "soon" status, then "overdue" at the threshold.
- A completed record carries the next service (its future due), so it stays visible in the upcoming band — the next cycle can't slip past you.
- The per-vendor spend band has now appeared at the top: an "in-house" tile vs "external shops" tile and a per-vendor table — the 1850-SAR order sits under "external shops" against «ورشة النخبة».
- The distance-due band lists parts nearing end-of-life from the next step.
Once you bind an Afaqy device later, the km-to-service column feeds itself from the live odometer — nothing changes about how you read it.
5. Register the trailer's tires
Open the trailer page → the «الإطارات والبطاريات» (tires & batteries) card → «+ إضافة قطعة»:
- Type: tire; name: «ميشلان 295/80» (required); position: «أمامي يمين» (front right).
- Odometer at install: 412300.
- Expected life (km): 100000 — for a battery use the months field instead.
- In the financials section: purchase date, price, and salvage value — these feed the book value.
It appears as "good" with a progress bar; at ≤ 5,000 km or ≤ 1 month left it turns "due soon" (yellow), then "overdue" (red), and shows up in the maintenance page's distance-due band. On replacement, mark it «مُستبعَدة» (retired) and register the new part.
6. Resolve a driver's fault report
Open Fault Reports — a driver reported «حرارة المقطورة مرتفعة» (trailer temperature high) with a photo. Review the description and photo, then press «تحديد كمحلول» (mark resolved) once the fault is fixed — the report moves to the resolved tile and notifications go out.
7. Add the fixed costs
On the trailer page → the «التكاليف الثابتة والتكلفة التشغيلية» card → «+ إضافة تكلفة»: type "periodic inspection", amount 1500, period "annual". Watch the tiles: annual fixed costs + annual depreciation = annual running cost, with its monthly equivalent. Repeat for insurance, registration, and the operation card to complete the cost-of-ownership picture.
8. Export the register
From the Maintenance page press the Excel button — whatever the filters match exports with the same Arabic columns (record number, asset, category, status, cost, next due…). Use it for the monthly review meeting or to share a shop-spend sheet with management.
