Financial Data-Entry Guide

The required fields across vehicles, drivers, settings and routes to get accurate trip costs and financial reports in WinTrack.

This guide turns the financial equation into an actionable checklist: four places to enter data once, and every later report benefits automatically.

Before you start

Vehicle and driver data needs no special permissions; the «Indirect Overheads» settings page is admin-only. All values are monthly SAR unless stated otherwise.

Open Vehicles → Edit and fill the Financial & Depreciation section:

FieldMeaningFeeds
Vehicle valuepurchase pricedepreciation calculation
Salvage valueexpected end-of-life valuedepreciation = (value − salvage) ÷ life
Useful life (months)expected consumption period60 months = 5 years is common for trucks

Repeat the same fields on Trailers — trailer depreciation adds to the trip's.

In the same vehicle form enter Average consumption (L/100km) — e.g. 25 means 25 liters per 100 km (roughly 4 km/L). It estimates fuel consumption in the vehicles report when no fuel purchases are recorded, labeled estimated in that case.

Automatic monthly invoicing & VAT

Platform-side setting

These live in the platform administration panel (Tenants → «VAT & Invoicing») and are not available to the transport company itself. Have the 15-digit VAT registration number ready before enabling.

  • VAT: register the 15-digit VAT number and the VAT rate per company in the «VAT & Invoicing» card. Saving an empty number clears it.
  • Automatic monthly invoices: when enabled, last month's invoices are generated automatically on the 2nd of every month at 04:10 AM (Riyadh time), only for ACTIVE companies with the toggle on. Already-generated months are never duplicated — generation skips months that were already invoiced.

Final checklist

Financial data for every vehicle & trailer

value + salvage + useful life + L/100km. Without it depreciation shows zero and the fuel estimate stays zero.

A package for every driver

At minimum the salary — the other items as they become known. Watch the live monthly total to verify.

Indirect overheads

Enter once, update when costs change (new rent, new subscription…).

Review the first completed settlement

Open any completed trip → the settlement card → confirm the lines appeared, then approve it to freeze the snapshot.

Once this checklist is complete you get: cost and profit per trip, real depreciation in the vehicles report, fuel consumption in liters per 100 km (actual or estimated), and each trip's share of company overheads.
