Trip Financial Settlement
The cost lines of a WinTrack trip settlement — revenue, fuel, bonus, driver cost, depreciation and indirect overheads — and how each is allocated to the trip.
When a trip completes, its page shows the Trip Financial Settlement card: revenue against every cost line, then gross profit and profit margin. The settlement stays a live-computed draft until a manager approves it; approval freezes it as an immutable snapshot.
Cost lines and where each comes from
| Line | How it is computed |
|---|---|
| Fuel | cost of the vehicle's fuel purchases during the trip window |
| Driver bonus | route bonus rate (per ton / per trip / per piece) × trip achievement |
| Driver cost (salary + items) | monthly package ÷ driver km this month × trip km |
| Tolls | toll amount defined on the route |
| Maintenance | resolved maintenance records during the trip window |
| Traffic violations | vehicle violations during the trip window |
| Fixed costs | insurance/registration/periodic inspection (annualized), prorated over trip duration |
| Depreciation | month depreciation ÷ vehicle km this month × trip km (vehicle + trailer) |
| Indirect overheads | company monthly pool ÷ fleet km this month × trip km |
| Other | manual, at approval or edit time |
Per-km allocation
Monthly costs (salaries, depreciation, overheads) belong to no single trip, so the system allocates them by the trip's share of the month's completed km:
- Driver: their monthly package × (trip km ÷ their completed km this month)
- Depreciation: month depreciation × (trip km ÷ vehicle completed km this month)
- Overheads: monthly pool × (trip km ÷ fleet completed km this month)
Example: a driver paid 9,000 SAR/month who completed 3,000 km this month, on a 500 km trip — salary share = 9,000 × (500 ÷ 3,000) = 1,500 SAR.
If data is incomplete
- Driver without a package → cost falls back to daily rate × trip days; with no daily rate either, the line stays empty.
- Vehicle without financial data → depreciation is zero.
- Company without overheads → the line is zero. See the data-entry guide to complete what's missing.
Settlement lifecycle
Live draft
Numbers recompute in real time — every other trip completing in the same month shifts the allocation shares slightly; that is by design.
Manager approval
Before approving you may override the driver cost manually or add "other costs". Approval freezes every figure as the final audit snapshot.
Editing after approval
Any later edit flips the settlement to disputed / under review and recomputes the totals — edits remain on record.
